PRIMARY FUNCTION

• The Ground Clinical Administration Specialist is responsible for creating and managing the New Employee Orientation Program (NEOP) schedules for non-clinical and clinical ground employees in a prompt and timely manner. This is to include the Initial, ongoing, 911 clearing and external students.
• The Ground Clinical Administration Specialist will be responsible for schedule conflict resolution and unforeseen scheduling changes that occur in a timely manner.
• The Ground Clinical Administration Specialist is responsible for managing ADP to include entering completed schedules, managing missing punch requests/exceptions on a daily basis and auditing/approving payroll on a weekly basis prior to the end of the pay period.
• The Ground Clinical Administration Specialist is responsible for managing the clearing process of the NEOP employees to include completion of the NEOP workbook, assigning and proctoring the NEOP Protocol test, remediation of unsuccessful Protocol test attempts, and communication with the assigned Operations Department that the NEOP is released.
• The Ground Clinical Administration Specialist will work strategically with the Clinical Process Manager in the development and selection of Field Training Officers.
• The Ground Clinical Administration Specialist will work strategically with the Clinical Process Manager in the training, evaluation, and supervision of Field Training Officers.
• The Ground Clinical Administration Specialist will participate in the direction and coordination of the NEOP for all ground non-clinical and clinical employees and ensure there is ongoing and comprehensive evaluation of each employee’s competency to perform their job.
• The Ground Clinical Administration Specialist will work collaboratively with division leadership to ensure timely and effective communication regarding NEOP progress and release dates.
• The Ground Clinical Administration Specialist will be responsible for management of employee clinical data.
• The Ground Clinical Administration Specialist will manage and maintain the course calendar in a LMS platform as well as a scheduling system.
• The Ground Clinical Administration Specialist will provide oversight of the continuing education functions in a LMS platform.
• The Ground Clinical Administration Specialist will provide a monthly certification status report to the Ground Leadership Team.
• The Ground Clinical Administration Specialist will maintain all applicable course records for CareFlite’s EMT Academy.
• The Ground Clinical Administration Specialist will oversee registration for EMS Academy NREMT testing and TxDSHS application process.

QUALIFICATIONS, KNOWLEDGE & EXPERIENCE REQUIRED:
• Certified or licensed to practice as an EMT-Basic or EMT-Paramedic is required. (Must be able to meet all requirements to practice as an EMT-B in IFT and 911.)
• Previous experience in a training role is preferred (FTO, preceptor, instructor, etc.).
• High level experience with Microsoft Office Suite; the ability to make pivot tables and charts in Excel.
• Experience in NinthBrain (LMS system) and Skedda (Scheduling system) preferred.
• Strong interpersonal, oral, and written communication skills.
• Must exercise sound judgment in handling the professional/confidential nature of protected health information.
• High attention to detail and problem-solving ability.
• Self-starter and highly organized.

PHYSICAL AND MENTAL REQUIREMENTS:
• Ability to make decisions, which have moderate impact on immediate work unit.
• Ability to understand, remember and apply oral and/or written instructions.
• Must be able to see and speak with customers and observe equipment operation.
• Occasionally perform tasks while standing and walking up to 100% of time.
• Examine and assess the skin and other abnormalities through sight, touch and smell.
• Reach, bend, kneel and have high level of manual dexterity.
• Will often be required to lift and carry up to 25 pounds or more.
• Fast paced environment with frequent interruptions.
• Frequently exposed to extreme temperatures and bloodborne pathogens.
• Required to wear personal protective equipment while performing specific tasks or in certain areas.
